Logo downloads are available online. After logging in with your UT NetID and password, click on the unit or area logos you need. Depending on your download preferences, a zip folder will prompt you for permission or automatically download. If you don’t see the logo that you need, please reach out to utiamarketing@tennessee.edu.
If there is a compelling need for your unit to produce a unique logo, you must contact UTIA’s Office of Marketing and Communications to discuss your needs.
All custom logos must meet a few basic design and usage standards and must be either created or approved by the Office of Marketing and Communications before implementation.

Marketing and Communications team members work diligently to meet the communications needs of the Institute, including design and editorial reviews of print items. Once items are ready and approved by the client, they are delivered to a printer. Marketing and Communications works closely with University Printing and Mail for most print jobs, but we also occasionally use vendors outside the University.
If you have an item that needs to be printed, email us at utiaprojects@tennessee.edu with the item, the quantity needed, the account to charge, delivery address, and the date desired.

If there are changes, fill out a project request form online with the item, the changes requested, the quantity needed, and the date desired.
Keep in mind that best practice for Extension publications is to update them every three years.
UTIA faculty are extremely active in writing grant proposals and journal articles, and due to staff limitations, our office is not able to take on requests of this nature. If you have a need, reach out to Marketing and Communications and we can work to provide a freelancer who can assist you.
We can help with graphics and images for peer-reviewed publications, depending upon the lead time available and other already calendared requests. These are reviewed on a case-by-case basis.
The Marketing and Communications team has created vertical and horizontal research poster templates for faculty and student use. Additionally, Pendergrass Library has guides online for research posters.

Requests for news releases should be submitted to the project form. If this is an urgent request, in addition to submitting the project form, you may also email Patricia McDaniels at pmcdaniels@tennessee.edu as soon as the need is anticipated. To expedite the process, include details if they are available.
If the release is for an event, include event details, like place, time, day, cost or registration fee, and any brochures or flyers in your initial email.
If the release is to highlight a publication or grant funding, include all application information and supporting links online.

These files can be sent directly to vendors. Send the vendor’s contact information and a .jpg or .png copy of the logo you need to utiamarketing@tennessee.edu and the appropriate files will be provided.
For best practices, update Extension publications every three years. Revisions should be submitted to the project form. Please include publication number, changes to be made, and that a publication authorization form has been started.
Email signatures can be updated from the Marketing and Communications website. Simply add your information into the appropriate text boxes, click create, and copy and paste the information into your email client.
To order business cards, letterhead, note cards, or other stationery items, log on to the UPM ordering portal. After logging in, select “catalog” in the menu, then select “Institute of Agriculture.”
University Printing and Mail utilizes a client numbering system. If you need to know your UPM client number, contact the project manager at utiaprojects@tennessee.edu.
The Marketing and Communications team adheres to the guidelines established by the Extension publications manual, which are put in place by the Extension dean’s office. This manual is available online.
Extension publications can be submitted for design and review through the online project form. A publication authorization form must be signed by the appropriate department head before we can publish.
Extension publications are free to access and print from UT Extension’s online catalog. Print copies of publications are available online to purchase as well. For assistance accessing Extension publications, contact your county UT Extension office or email utiapubs@utk.edu.
All records requests related to UTIA should be sent to Lisa Stearns, the Institute’s public records officer. More information about how public records requests are handled at the Institute is available at the UTIA News site.

For a list of vendors Marketing and Communications has used in the past, email utiaprojects@tennessee.edu with information about the kind of product you need. While most vendors we use have been set up as vendors in IRIS, it is the department’s responsibility to confirm payment options.
Our office is glad to provide oversight and best practices suggestions for planning and developing email sends and email newsletters.
For departments or units that need to send regular emails (weekly, monthly, quarterly) to internal audiences, such as faculty and staff, please contact utiaprojects@tennessee.edu for options available. For all other emails or e-newsletter needs, such as event-based communications or requests specific to a program launch or other unique circumstance, complete a project form and a member of the Marketing and Communications team will reach out to you for more information.
We prioritize the projects we accept based on their potential to elevate UTIA and impact the populations we serve. While every effort will be made to meet the email marketing needs of UTIA units, departments, centers, and areas, if we are unable to complete your project due to limited time or resources, we will work to find alternate options and guidance for moving your project forward.
